How to Use TransForm

Unlock powerful data collection by creating public, shareable, and translatable web forms directly from your monday.com boards. Follow these simple steps to get started with TransForm.

1. Installation

Getting TransForm onto your boards is quick and easy:

  1. Navigate to the monday.com Apps Marketplace within your monday.com account.
  2. Search for "TransForm".
  3. Click "Use App" and follow the prompts to add TransForm to your desired workspace and boards.

2. Configuration

Once installed, here’s how you set up your first form:

  1. Open TransForm View: Go to a board where you've installed TransForm. Open the "Board Views" menu and select "TransForm" to open the app interface.
  2. Select Columns for Your Form: In the TransForm interface, check the boxes next to the columns you want to include as fields in your public web form. The form preview on the right will update as you make selections.

    Note: People and Subitem columns are typically excluded and won't appear in the selection list.

  3. Customize the Item Name Field (Optional): TransForm uses your board's "Name" column for the main identifier. Click on its label in the preview to type a custom title (e.g., "Project Name," "Client Inquiry," "Your Full Name").

3. Sharing Your Form

With your form configured, it's time to share it:

  1. Generate Share Link: Click the "Share form" button, usually at the top right of the TransForm interface.
  2. Copy Your Form URL: A popup will appear displaying a unique URL for your form.
  3. Copy and Distribute: Click the "Copy link" button. Share this URL anywhere you need to collect data – emails, social media, your website, etc.

4. How Respondents Use the Form

Here's what your audience will experience:

  1. Language Selection: The form page includes a language selector. Respondents can choose their preferred language, and the form's labels and options will instantly translate.
  2. Filling Out and Submitting: They fill out the fields and click the submit button.
  3. Confirmation: After successful submission, they'll see a confirmation message.

5. Managing Forms & Submissions

Control your forms and see the data flow into monday.com:

  1. Activating/Deactivating Forms: Re-open the "Share form" popup to toggle your form's access between "Active" and "Inactive".
  2. Automatic Item Creation: When an active form is submitted, TransForm automatically creates a new item in the corresponding monday.com board.
  3. Data Re-translation: If a form was submitted in a different language, the submitted text is automatically re-translated back to your board's original language, ensuring data consistency for your team.

6. Tips for Best Results

  • Clear Column Titles: Use clear, user-friendly titles for your monday.com columns, as they become the default labels on your form.
  • Choose Appropriate Column Types: The column types on your board (Text, Numbers, Date, Status, etc.) directly influence the input fields on your form.
  • Test Your Form: Before sharing widely, submit a test entry to ensure it works as expected and data appears correctly in your board.
